Event Scheduling

To schedule your event, send a completed Event Scheduling Request Form to the Director for Campus Activities.

Scheduling of Events: The pricing in this guide is based on events held during the normal operating hours while classes are in session. An event scheduled during a close-down period will be considered on an "event-by-event" basis. An event scheduled after 9:00 p.m. will be charged an additional fifteen percent (15%). You must schedule your catered event with the catering office one week in advance. Failure to do so may result in an additional late fee charge of $50 or 10% of total bill (whichever is greater).

Guaranteed Count: The guaranteed number of guests must be given to the Catering Office 72 hours (three business days) prior to your event. You will be billed for the guaranteed number of guests. If actual attendance exceeds the guarantee, you will be billed for the actual number of meals served.

Labor Charges: Labor charges are included for buffets and banquets served inside Ellis Hall. There is an additional labor charge for events lasting more than two hours and for meals served off campus. Additional labor charges are possible for events held outside of Baker Refectory.

Linen Needs: Linens will be discussed during the planning of your event.

Delivery Charge: There is a delivery charge of $50.00 for any off-campus event.

Cancellations: If you cancel your event, the Catering Office must be notified 48 hours (two business days) prior to the scheduled event. If cancellations are made after this time period, any expenses incurred by the Catering Office will be billed to your department.

Billing and Payment: Department charges are processed through the College accounting system.

Departmental Charges: You must present your valid department charge number at the time of booking. We are unable to proceed with your event without this number (per our instructions from the Accounting Office).
