Development Office Assistant
Primary Role:
The Development Office Assistant provides support for the Director of Corporation and Foundation Support, Director of Planned Giving and the Assistant Director for Leadership Giving.
Typical Duties and Responsibilities:
- Assembles and submits grant applications using online (Grants.gov, Fastlane, eRA Commons, etc.) or paper submissions. Tracks the status of proposals and communicates with Grants Accounting and Principal Investigator on the status. Secures internal institutional approvals.
- Assists leadership and planned giving staff in developing prospective visits and itineraries, secures appointments, and coordinates travel for planned giving staff, leadership giving officer, and Director of Alumni Relations.
- Assists the Associate Vice-President in managing and organizing recognition vehicles (plaques, bricks and memorial trees), coordinating with the donor, facilities services, vendors and development officers.
- Records and files all grant proposals. Reports on grants status and outcomes.
- Communicates grant deadlines to faculty, including reminders of reporting and other technical requirements of awarded grants.
- Collects existing statistics on Juniata, researches new data, and merges data into current proposals.
- Performs grant searches for potential funding sources.
- Edits proposals written by others and may author original proposals.
- Scans and transfers appropriate files to other applications (i.e. Adobe portable document formats) for online proposal submissions.
- Performs reminder calls to donors with outstanding pledges.
- Authors and edits routine correspondence for others.
- Records contact reports, changes, and updates in Datatel’s Benefactor Software for corporations, foundations, government agencies, and individuals.
- Answers questions by phone, in person, or by mail/email. Provides department information and explains policies and procedure to diverse customers.
- Performs related duties as assigned.
Supervision Required/Given:
Works independently carrying out defined responsibilities within established policies and guidelines. Must work collaboratively with diverse constituents. Supervises student workers when necessary.
Position Qualifications:
- High School diploma plus knowledge and capabilities normally acquired through a business college degree or a high school emphasis in business.
- Advanced competency in MS office products including Excel, Access, Microsoft Word.
- Computer aptitude and experience demonstrating an ability to learn new software including database software such as Datatel’s Benefactor.
- Positive and pleasant telephone habits.
- Proficient writing and grammatical skills.
- Commitment to confidentiality with regard to gifts, donors, and data.
- Two to five years work experience preferred.
