Educational Services Assistant - Accounting, Business & Economics, Communications, Computer Science, Information Technology, and Mathematics
Provides varied and complex administrative and office support services for the Accounting, Business & Economics, Communications, Computer Science, Information Technology, and Mathematics departments, as well as the Personnel Evaluation and Professional Development Committees.
Typical Duties and Responsibilities
1. Performs a range of administrative/office support services including correspondence preparation; filing maintenance and retrieval; copying; customer service by phone, in person and through the mail; opening mail; scheduling meetings; arranging travel; etc.
2. Performs a variety of critical logistical support services including: planning and scheduling meetings, events, travel, etc.; arranging appointments; planning and overseeing mailings; preparing and circulating agendas/announcements/minutes. reconciles department purchasing cards, keeps accurate file of purchases and receipts for each managed card.
3. Answers questions by phone, in person, or by mail. Provides program information and explains program policies and procedures to diverse customers, both internal and external, providing expert counsel and advice.
4. Collects and processes data and information collected from faculty development applications, forms, requests, insuring completeness and accuracy. Maintains a supporting database and files.
5. Collects and processes, and organizes confidential student course evaluations and materials for faculty evaluation files. Maintains a supporting database and master files for the junior and senior faculty evaluations systems.
6. Collects, tracks, and maintains data and information from new faculty hires, promotions, contract renewals, and tenure for use in preparing faculty evaluation lists and historical reports.
7. Prepares and proofreads documents including reports and correspondence. Completes and prepares routine reports. May draft correspondence for signature of others.
8. Conducts financial transaction such as securing travel, accommodations, and conference / workshop registration. Monitors faculty development expenditures and institutes payment requests.
9. Assists with the organization of the Liberal Arts Symposium – creation of program, organization of space and room reservations, recruitment of volunteers for event, creation of posters and signs for the event, provide other assistance to the faculty organizer as needed.
10. Maintains copier and paper supplies for use in copier. Initiates service call as needed for maintenance or repair to copier.
11. Organizes interview schedule, overnight accommodations, dinner reservations for candidates involved in job searches. Organizes receipts and sends information to Human Resources.
12. Involved in orientation of new faculty – orders nameplates and keys, checks office for phone and computer, arranges training, provides general orientation to copier, mailroom, etc.
13. Perform related duties as assigned.
Works with considerable independence. Must work collaboratively with diverse individuals and groups. May supervise a small support staff and/or student assistants.
1. Knowledge and capabilities normally acquired through completion of a high school diploma. Additional academic training preferred.
2. Three years experience in an office setting sufficient to demonstrate intermediate competencies in: customer service, project planning and management, PC based office software, budget tracking, staff supervision, word processing skills, and effective handling of confidential materials.
