Grants and Development Office Assistant
Primary Role:
The Development Office Assistant provides support for the Director of Corporations and Foundations, Director of Planned Giving and the Director of Development, along with overflow support to the entire Advancement team. The Assistant carries important responsibilities with regard to relationships with faculty, and donors and prospects. Demonstrated abilities to relate to persons with care, to practice confidentiality, and to be well organized and detail oriented will be expected. A comfort level of communication with faculty is necessary. This position reports to the Director of Corporation and Foundation Support.
Typical Duties and Responsibilities:
- Responsible for grants tracking and recording.
- Perform grant source searches.
- Assists in filling out and completing grants forms.
- Communicate grant deadlines to faculty, and assist in maintaining faculty updates on related details.
- Produce general letters and other mailings.
- Assists major and planned giving staff in developing prospective visits by reviewing the locations of major prospects, noting previous contact records, and observing giving records.
- Assists n travel planning and donor appointments
- Performs reminder calls to donors with outstanding pledges
- Assists in event planning in conjunction with development and alumni staff.
- Authors and proofreads routine correspondence for others and manages other follow-up material as required.
- Records contact reports, changes, and updates. Use of Datatel’s Benefactor Software will be required.
- Perform general clerical tasks, including overflow from other areas of the advancement office.
- Answers questions by phone, in person, or by mail/email. Provides department information and explains policies and procedure to diverse customers, both internal and external.
- Performs related duties as assigned.
Supervision Required/Given:
Works independently carrying out defined responsibilities within established policies and guidelines. Must work collaboratively with diverse constituents. Supervises student workers when necessary.
Position Qualifications:
- High School diploma plus knowledge and capabilities normally acquired through a business college degree or a high school emphasis in business.
- Competency in MS office products including Excel, Access, Microsoft Word.
- Computer aptitude and experience demonstrating an ability to learn new software including database software such as Datatel’s Benefactor.
- Positive and pleasant telephone habits.
- Proficient writing and grammatical skills.
- Commitment to confidentiality with regard to gifts, donors, and data.
- Two to five years work experience preferred.
