Advancement Office Assistant
Primary Role
Assists development staff members in arranging visits with alumni and friends of the College, prepares follow-up correspondence and major gift proposals, maintains contact records, and sends donor receipts. Additionally, the Advancement Office Assistant coordinates travel for development functions and provides essential office support services such as file/data management, oral and written communication with donors and prospects, and personal/telephone reception. The Advancement Office Assistant provides primary support for the Director of Corporate and Foundation Support, the Associate Director of Development and the Director of Planned Giving. The Assistant carries important responsibilities with regard to relationships with donors and prospects. Demonstrated abilities to relate to persons with care, to practice confidentiality, and to be well organized and detail oriented will be expected. The position reports to the Director of Planned Giving.Typical Duties & Responsibilities
- Assists staff in developing prospective visits by reviewing the locations of major prospects, noting previous contact records, and observing giving records.
- Maintains donor files including travel files.
- Assists with itineraries and travel arrangements.
- Coordinates travel and secure appointments as required.
- Gathers information and other resources prior to staff visits.
- Assists in event planning in conjunction with development and alumni staff.
- Produces correspondence and manages other follow-up material as required.
- Records contact reports, changes, and updates.
Supervision Required/Given
Works independently carrying out defined responsibilities within established policies and guidelines. Must work collaboratively with diverse constituents.Position Qualifications
- High School diploma plus knowledge and capabilities normally acquired through a business college degree or a high school emphasis in business.
- Competency in MS office products including Excel, Access, Microsoft Word.
- Computer aptitude and experience demonstrating an ability to learn new software including database software such as Datatel's Benefactor.
- Positive and pleasant telephone habits.
- Commitment to confidentiality with regard to gifts, donors, and data.
- Two to five years work experience preferred.
