Alumni Relations Specialist
Primary Role:
Provides leadership, guidance, and support to College team members and alumni volunteers.
Typical Duties and Responsibilities:
- Plans, organizes, and manages Alumni Weekend, which includes providing leadership and guidance to College staff and alumni volunteers. Plans, organizes and manages Alumni Assembly to honor and recognize Alumni Award recipients. Researches and assists in the writing, styling, and framing of alumni award citations.
- Coordinates and supports the three annual Alumni Council meetings with Council president, Alumni Relations Director, and Assistant Alumni Relations Director. Serves as staff advisor to the Awards and Nominating Committee. Collaborates with assistant director of prospect management position in locating and researching alumni as possible prospects to serve on Alumni Council and recipients of the four Alumni Association alumni awards.
- Main point of contact for alumni, parents, and friends via e-mail, phone, in person, or by mail. Nurtures Juniata College alumni body. Researches problems and informational requests. Provides program information and explains program policies and procedures to diverse customers, both internal and external, providing expert counsel and advice.
- Writes a variety of materials such as articles, class notes, promotional pieces, and Alumni Council articles for the quarterly Juniata Magazine. Writes, signs, and sends appropriate letters to alumni regarding each class note submission. Prepares and designs the Alumni Weekend brochure. Proofreads documents including Juniata Magazine, reports, contracts, and correspondence. Drafts correspondence for signature of others. Inputs and edits college publications. Provides input for updates for the alumni pages on website.
- Assists in organizing volunteer programs and participates in programs as a presenter.
- Performs a variety of critical logistical support services including; planning, scheduling, and setting agendas for meetings on/off campus events, etc.; arranging appointments; planning and overseeing mailings; preparing packets, minutes, etc.; attends alumni functions.
- On behalf of the President’s Office, locates, contacts, and make arrangements for alumni to serve as Juniata College delegates at all presidential inaugurations throughout the country.
- Performs related duties as assigned.
Supervision Required/Given:
Works independently and collaboratively with diverse individuals and groups. Provides direct supervision to student assistants and alumni volunteers. Provides direction to Alumni Office Assistant position.
Position Qualifications:
- Knowledge and capabilities normally acquired through completion of a high school diploma. Additional academic training preferred.
- Three years experience in an office setting sufficient to demonstrate proficiency in: customer service skills, volunteer management, project planning and management, PC based office software, budget planning and tracking, staff supervision, advances word processing skills, and effective handling of confidential materials.
