Career Services Specialist

 

Primary Role

Provides varied and complex administrative and office support services for the Career Services Office.

Typical Duties & Responsibilities

  1. Perform a range of administrative/office support services including: correspondence preparation; filing maintenance and retrieval; copying; customer service by phone, in person, and through the mail; opening mail.
  2. Perform a variety of critical logistical support including: planning and scheduling meetings, events, travel and more; arrange appointments; coordinate and oversee mailings; prepare and circulate announcements and publicity materials.
  3. Answer questions by phone, in person or by mail. Furnish Career Service and Internship information and explain and present policies and procedures to diverse customers, both internal and external; provide counsel and advice.
  4. Collect and process data and information insuring completeness and accuracy. Maintain supporting databases, files and resource library.
  5. Prepare and proofread documents including reports, contracts and correspondence. Complete and prepare routine reports; drafts correspondence for signature of others.
  6. Conducts financial transactions such as purchasing goods and services, receives and deposits payments, monitors expenditures, submits and tracks payroll data, institutes payment requests.
  7. Assists in planning, implementing and evaluating major events including banquets, career fairs and other office programming functions.
  8. Serves as primary contact person for continuing education program, including recruitment of instructors, facility procurement, publicity, registration, rosters, budget and financial transactions.
  9. Performs related duties as assigned.

Supervision Required/Given

Works with considerable independence. Must work collaboratively with diverse individuals and groups. Supervises small support staff and/or student assistants.

Position Qualifications

  1. Knowledge and capabilities normally acquired through completion of a high school diploma. Additional academic training preferred.
  2. Three years experience in an office setting sufficient to demonstrate competencies in: customer service, project planning and management, PC based office software, budget planning and tracking, staff supervision, advances word processing skills, and effective handling of confidential materials.
