Post Office Guidelines
For Preparing Outgoing Mail
Addressing
The upper right corner of the envelope or parcel is reserved for postage. Do not place any markings in this area. Each outgoing letter, flat (large manila envelope), or parcel must carry the following information:
- The return address must be printed in the upper left corner and include the department or office, institution, PO Box number, city, state, and zip code.
- The address of the recipient must be printed in the center of the envelope and should include the name, agency or company, street address or route number, city, state, and zip code. The zip code should always appear on the last line of the address. Outgoing US mail that does not have a zip code will be delayed in the mail stream.

Envelopes
In a tray or box, place letter-sized envelopes, unsealed, with the flaps down. The envelopes will be sealed as they are processed through the postage meter. Envelopes should be sealed OR unsealed, however DO NOT mix sealed and unsealed envelopes. Large, bulky envelopes with end-openings MUST be sealed by the department. Such envelopes cannot be sealed by machine. Envelopes smaller than 3 ½ x 5 will NOT be accepted.
Cards
Cards smaller than 3 ½ x 5 will NOT be accepted.
For International Mail
Mail addressed to countries outside the United States must have the address typed or printed in Roman capital letters and Arabic numerals. The complete address must include the name of the recipient, house number, street address or box number, city, province and country. All non-English addresses must have an English translation of the destination, post office, province and country. Any mail piece that is larger than a letter will REQUIRE a customs form to be completed. Customs Forms can be picked up at the campus post office.
International Priority Air Mail
This mail classification reaches its overseas destination in 6-10 days. First class international mail reaches its overseas destination in approximately 5 -10 days.

For Parcels
USPS / Express Mail - UPS Ground / Next Day Air
Used corrugated boxes may be used, however old addresses and markings MUST be removed. Make sure to pack contents with plenty of packing materials to allow for shifting during shipping. Address information should be printed clearly or typed on an address label and placed in the center of the box top. Use a filament-reinforced tape to seal your package (scotch tape and masking tape are not acceptable). Avoid using wrapping paper on the outside of your package.
