All conferences and organizations, persons and entities using Juniata College facilities (the “Facilities”) shall take out and keep in force liability and property damage insurance for their events in amounts of and with insurers satisfactory to Juniata College (the “College”) regardless of whether or not the College charges a rental fee for the use of the Facilities. At least two (2) weeks prior to using the Facilities, all conferences and organizations shall provide the College with a Certificate of Insurance evidencing such insurance coverage with the College named as an additional insured.

All conferences and organizations shall indemnify and hold the College, its trustees, officers, agents, servants, employees, indemnitors, insurers and guarantors harmless from and against any and all claims, actions, damages, liability and expense including but not limited to attorney’s and other professional fees in connection with the loss of life, personal injury and/or damage to property arising from or out of the conference’s or organization’s use of the Facilities including but not limited to the conference’s or organization’s preparation for, use of and removal from the Facilities. In case the College shall be made a party to any litigation commenced by or against the conference or organization, the conference or organization shall protect and hold the College harmless and shall pay all costs, expenses and reasonable attorney’s fees incurred or paid by the College in connection with such litigation. The conference or organization shall also pay all costs, expenses and reasonable attorney’s fees that may be incurred or paid by the College in enforcing the covenants and agreements of this Conference Agreement.

The conference or organization shall use the Facilities in a careful, safe and proper manner and will surrender the Facilities to the College in the same condition and repair as when the conference or organization assumed responsibility for the Facilities and agrees to make payment to the College for any damages to the Facilities or any property of the College by any person during the period of the conference’s or organization’s preparation for, use of and removal from the Facilities.

The conference or organization shall provide such security as they deem necessary to protect any personal property of the conference’s or organization’s participants or guests while on or about the Facilities. No claim shall be made against the College for damage or destruction of personal property on the Facilities for any reason.

All college regulations and state and federal laws must be observed by the conference or organization and its participants. Violations of rules and regulations may result in the immediate termination of the event on the Juniata College campus and/or the dismissal of participants from the campus. The conference or organization must provide the College with a copy of all brochures and promotional materials for the event. Use of the Juniata College name and logos in any materials is subject to approval by the College.
