Primary Role
The executive assistant & campaign communication position is responsible for providing office management and primary administrative support for the senior administrators of the College’s senior advancement and marketing operation positions. Requiring considerable independent judgment and significant knowledge of advancement policies, procedures and programs, this job is also responsible for working with the College’s Alumni Relations and Development Team on the organization and execution of fundraising programs and related activities. Primarily this individual will support the campaign by focusing on volunteer boards, various committees, and task forces. They will work primarily with the VP of Advancement & Marketing and the AVP of Development & Campaign Operations to establish strategic goals for each volunteer group; assist in implementing our annual operational plan; and, manage and implement follow-up tasks directly with a number of the College's largest donors and prospects. In addition, this individual will oversee the budget, travel for the AVP and VP, organize retreats, track follow up and assist in compiling fundraising data and reports for Senior Development and Marketing Officers. The individual will also manage other projects as necessary by the AVP and VP.
Typical Duties and Responsibilities
•Provide administrative support to the Vice President of Advancement and Marketing and the AVP of Development & Campaign Operations, including coordination of staff meetings and agendas, travel planning, budget monitoring, departmental accounting, data related procedures, prospect/donor management, and constituent communication.
•Provide administrative support to two Board of Trustee committees to include meeting planning and preparation, minute taking and transcription, and meeting follow-up, as well as coordination with trustee committee chairs.
•Provide administrative support to the volunteer Believe Campaign Committee including meeting planning and preparation, project management, volunteer management and meeting follow-up, as well as coordination with the committee chairs.
•In conjunction with the Office of the President, help coordinate and plan the off-campus Board of Trustee retreat every three years.
•Provide travel planning and campaign operation support to senior fundraisers in the development office, at the discretion of the vice president and AVP.
•Write, edit and produce documents and communication, reports, and presentations to use within various publications and campaign related materials.
Supervision Required/Given
Works with considerable independence and under general guidelines and directions. Must work collaboratively and cooperatively with diverse individuals and groups. Supervises JA’s and student workers.
Position Qualifications
•Bachelor’s degree in business administration, public relations, communications or related field.
•Minimum of two years experience assisting vice president or c-suite level; preferably in higher education or corporate environment.
•Confidentiality, persuasiveness, professionalism; demonstrated familiarity with philanthropy.
•Proficiency with database operation and protocols, and advanced writing skills.
•Proficiency operating Microsoft Office and other office software
