Assistant to the Provost
Juniata College invites applicants to apply for the Assistant to the Provost position.
As a partner to the Provost, the Assistant provides leadership, oversight and guidance for the day-to-day operations of the Office of the Provost and is a member of the Academic Affairs team. The Assistant to the Provost will coordinate the Provost's schedule and interactions with internal and external constituents, and exercise discretion in the coordination of sensitive and confidential information and materials. The Assistant will prioritize and maintain the scheduling for the Provost. The Assistant also provides general support for other academic administrators including but not limited to the Associate Provosts.
Typical Duties and Responsibilities
•Plans, implements, and manages office operations and procedures with discretion and diplomacy for the Office of the Provost in a highly confidential manner.
•Applies a high degree of independent judgment and discretion to manage the Provost's complex calendar and decides on priorities to ensure effective use of the Provost's time
•Anticipates the needs of the Provost and pre-plans/prepares in advance of expressed need(s)
•Coordinates a variety of meetings which may include managing logistics, distributing meeting materials, taking meeting minutes, managing attendee lists, and coordinating room reservations and/or catering needs
•Maintains webpages for Office of the Provost updating and reimagining as needed
•Manages the Office of the Provost budgets and provides reports on all academic budgets as needed.
•Communicates on behalf of the office by responding to routine inquiries, drafting letters and memoranda, anticipating and distributing pertinent information to various constituencies, research and compiles information for various office and college reports.
•Provides Supervision to a team of administrative assistants who support academic departments and some administrative units
•Coordinates key campus events that are academic including Commencements and various awards and recognition ceremonies
•Perform related duties as assigned.
•Bachelor's degree or the equivalent combination of education, training and experience from which comparable knowledge and skills can be acquired
•At least three years of executive administrative support experience required, with prior experience in support of a senior leader in a similar role preferred
•Proven supervisory experience preferred.
Minimum Competencies: (Skills, knowledge, and abilities.)
•Demonstrated excellent oral and written communication skills
•Demonstrated advanced proficiency with the Microsoft Office Suite of products, particularly Word, PowerPoint, and Excel
•Ability to demonstrate a calm, courteous and professional demeanor under pressure when working with a variety of situations and/or people
•Proven ability to take initiative and make sound decisions without direction
•Demonstrated professionalism, integrity, initiative and independence; an ability to handle sensitive and confidential information, and keen attention to detail.
